# Attendance Term-Based Migration Summary

## Overview

Successfully migrated the Attendance module to support term-based attendance tracking, following the Nigerian 3-term academic system as implemented in Academium-BGS. This enables filtering and managing attendance by specific terms.

## What Was Implemented

### 1. Database Migration

**File**: [198_add_term_id_to_attendance_tables.php](application/migrations/198_add_term_id_to_attendance_tables.php)

**Features**:
- Adds `term_id` field to attendance tables:
  - `student_attendance`
  - `student_subject_attendance`
  - `staff_attendance` (if exists)
- Creates indexes for better query performance
- Auto-populates `term_id` for existing attendance records
- Matches attendance dates with term date ranges

**Migration Statistics**:

#### get_active_term_id()

- Respects manually set term via `$_SESSION['manually_set_term_id']`
- Falls back to active term (`is_active = 1`)
- Returns null if no active term found

**Purpose**: Ensures attendance can only be marked for dates within the active term's date range.

## Key Features

### 1. Term-Based Filtering

Attendance is now filtered by active term:
- Only shows attendance for current term
- Prevents mixing attendance across different terms
- Maintains historical data integrity

### 2. Date Range Validation

Users can only mark attendance for dates within the active term:

Second Term: Jan 15 - Apr 15
Third Term: May 1 - Aug 15
```

If Second Term is active, users cannot mark attendance for dates in September (First Term) or June (Third Term).

### 3. Data Migration

Existing attendance records are automatically associated with terms:
- Migration checks attendance date
- Finds term with matching date range
- Updates term_id accordingly
- Handles records without matching terms gracefully

### 4. Multi-Branch Support

Each branch can have different term dates:
- Branch A: First Term (Sep 1 - Dec 20)
- Branch B: First Term (Sep 10 - Dec 15)

Attendance respects branch-specific term dates.

### 5. Manual Term Override

Supports manually setting active term via session:

This allows viewing/editing attendance for non-active terms when needed.

## Backward Compatibility

✅ **Fully Backward Compatible**

- `term_id` field is nullable
- Model method has optional `$termID` parameter
- Validation is added, not replacing existing validations
- Existing attendance records work without term_id
- Migration populates term_id for historical data

## Troubleshooting

### Issue: Active term not displaying

**Solution**:
1. Ensure terms exist for current session: `yoursite.com/sessions` > View Terms
2. Activate a term if none is active
3. Run `yoursite.com/fix_terms` if terms are missing

### Issue: Cannot select any date

**Solution**:
1. Check if active term exists
2. Verify term dates are correct
3. Ensure selected date falls within term range

### Issue: term_id is NULL for new attendance

**Solution**:
1. Verify migration 198 ran successfully
2. Check that `get_active_term_id()` returns a valid ID
3. Ensure active term is set in academic_terms table

### Issue: Existing attendance missing term_id

**Solution**:
1. Re-run migration 198
2. It will populate term_id for records that don't have it
3. Checks attendance date against term date ranges
